We are looking for a detail-oriented Content Assistant to support our Clinical Content team with a six-month project focused on digitising, organising and strengthening the content available on EMGuidance.
Job Purpose
The Content Assistant will provide practical content, data and administrative support to the Clinical Content team as part of the Clinical Content Backlog & Content Boosting Project.
The role will focus on digitising previously authored content, capturing information, checking that content has been digitised accurately, sourcing documents, maintaining spreadsheets and preparing content for clinical review and publication.
The successful candidate will work across a variety of content projects, including medicine information, clinical guidelines, medical scheme information and other content sets, bith clinical and non-clinical. They will also assist with desktop research, liaising with reviewers and specialists, tracking project progress and completing general administrative tasks.
This is a support role. The Content Assistant will not be responsible for clinical interpretation, review or approval. Clinical decisions and clinical sign-off remain the responsibility of the appropriate Healthcare Professionals.
Key Job Outputs
1. Content Transcription, Digitisation & Data Capture
- Transcribe and capture previously authored medicine information, clinical guidelines and other content into the required digital formats.
- Digitise existing content sets for use on the EMGuidance platform.
- Compare digitised content against original source documents to ensure information has been captured accurately and completely.
- Check for missing text, transcription errors, incorrect formatting, duplicated information and other discrepancies.
- Populate templates, databases and platform fields accurately.
- Flag unclear information or potential clinical discrepancies for review by the clinical team.
2. Content Preparation & Administration
- Assist with preparing medicine information, guidelines, courses and other content for review and publication.
- Organise documents, references and supporting information according to established processes.
- Maintain accurate spreadsheets, content trackers and project records.
- Update the status of content as it moves through the digitisation, checking and review process.
- Manage electronic filing, document version control and record-keeping.
- Provide general administrative support to the Clinical Content team as required.
3. Research & Document Sourcing
- Conduct desktop research to locate relevant documents, guidelines, publications and other source material.
- Find and retrieve documents according to established Standard Operating Procedures (SOPs).
- Check that documents meet the specified requirements, including document type, version and date where applicable.
- Record source information and maintain organised reference libraries.
- Escalate missing documents, outdated versions or difficulties sourcing information.
4. Guidelines, Courses & Additional Content
- Assist with digitising clinical guidelines and preparing them for review.
- Support the organisation and preparation of existing medicine information and other clinical content sets.
- Assist with checking and updating course materials and educational content, as directed.
- Help prepare additional content for the platform according to project requirements.
- Ensure content is correctly categorised, labelled and captured in the required format.
5. Reviewer & Specialist Liaison
- Assist with coordinating content sent to peer reviewers, specialists and other content partners.
- Track review requests, feedback and outstanding responses.
- Follow up on outstanding items and update project trackers.
- Capture and organise feedback for the clinical team to action.
- Help maintain contact lists, review records and supporting documentation.
6. Quality Checks & Digital Tools
- Perform detailed checks to confirm that captured content matches the approved source.
- Check completeness, formatting, references, headings, tables, numbering and required fields.
- Follow established SOPs and quality-checking processes consistently.
- Assist with testing digital and AI tools used for transcription, document processing, data capture and content preparation.
- Check AI-assisted outputs against source documents and report any errors or discrepancies.
7. Project Tracking & Delivery
- Work through assigned content according to agreed project priorities and deadlines.
- Maintain accurate records of completed, outstanding and pending content.
- Provide progress updates and follow up on outstanding tasks.
- Manage multiple assignments while maintaining accuracy and attention to detail.
- Identify delays, missing information or process issues and escalate them promptly.

Experience
Essential:
- Computer literacy and confidence working with digital documents and spreadsheets.
- Ability to capture information accurately and follow structured processes.
- Strong administrative and organisational ability.
Advantageous:
- Experience in data capturing, document management, research or project administration.
- Experience working with large volumes of information.
- Experience in a healthcare, medical, pharmaceutical or educational environment.
- Familiarity with clinical documents, medicine information or guidelines.
- Experience using databases, content management systems or AI tools.
Qualifications
Matric is essential. A relevant qualification or background in healthcare or life sciences is advantageous, particularly as a nurse, allied healthcare professional, pharmacist assistant or in a related field.
