Patient record updates
To find a patient, search by SA ID/Passport number (recommended) or full name; this also checks PBVerify for new patient details. For children, use their ID or a guardian's. To view an existing patient's full history, a new prescriber must "request access" and get a consent OTP from the patient via SMS. Once located, you can view their history and download/send authorized script copies.
- To locate a patient within EMGuidance Script, begin by searching using the patient’s full name or South African Identity Number (ID) or, for foreign nationals, their passport number. If the patient already has an EMGuidance Script profile, their details will appear in the search results.
- If you search by name and no results are found, try searching by ID or passport number. In cases where the patient does not have an existing EMGuidance Script profile, searching by ID number will also query the PBVerify database to retrieve available personal information, which will then automatically populate relevant fields in the patient creation form.
- When searching, it is often most effective to use the ID number, especially if the patient's presence in the EMGuidance Script database is uncertain. If no results are found using either the local EMGuidance Script data or the external PBVerify database, you may manually add the patient’s information to the system. For children, if an ID number is available, they can be registered as adults; if not, they can be registered under a guardian’s ID number, which will ensure they appear in search results linked to that guardian.
- During patient profile creation, certain fields are mandatory, and these can be edited after the record has been created if updates are required.
- For patient privacy and security, if a patient has an existing EMGuidance Script profile but has not previously received scripts from a particular prescriber, the prescriber must “request access” to view the patient’s profile. The patient will receive a One-Time Pin (OTP) via SMS, which must be provided to the new prescriber. This process ensures that patient consent is obtained before accessing their script history from other prescribers. In emergencies, once-off scripts can be issued without full access to the patient's history, but these do not provide the prescriber with comprehensive script data. For guidance on shared access among practices, refer to the “Shared Practice Section Above.”
- When a connector is integrated with a prescriber’s practice, the search function will first check the local EMGuidance Script database, then the integration database, and finally PBVerify to locate the patient.
- On the EMGuidance Script home page, the patient list can be organized by various columns to facilitate easy access. Selecting “view patient” opens the patient’s complete script history within EMGuidance Script, provided you have the necessary access permissions. Additional options are accessible via the menu icon next to each script date, with available actions dependent on the script’s status (such as draft, cancelled, or sent).
- Prescribers have the ability to download and send authorised copies of scripts for uses such as patient previews, travel documentation, or medical scheme submissions. Download preferences, including file naming conventions with the patient’s name and script date, can be managed within the prescriber’s profile settings.
